Rental Billing
| Creating rental invoices is perhaps the most complicated aspect of running a scaffolding, shoring, or formwork business. Quantify was designed to meet the demands of the most challenging billing situations, allowing you to cut costs with business process improvements and reduce the time between a sale and collecting payment.
Since Quantify creates invoices based on deliveries and returns (partial or otherwise), the task of determining what equipment is on rent and what has been returned is handled automatically, eliminating the burden of manually organizing your data using spreadsheets or other time-consuming processes. Rates and billing methods are specified at the shipment level, giving you crucial flexibility for job sites that have complex and dynamic rental rates.

Creating Invoices
Invoices can be generated for all activities or for a specific customer or single job site. Quantify tracks your billing cycles and knows when invoices need to be created. You simply enter the invoice date and click the ‘Create Invoices’ button and Quantify produces a list of invoices for transactions that have occurred through this date. You can review the invoices prior to saving them.
Rate Profile
The core of billing in Quantify is the rate profile. Rate profiles allow you to specify rent rates, discounts or markups, and the billing method.
NOTE: A job site has a rate profile that serves as a default for related deliveries. However, this default may be changed for each delivery (including a job to job transfer), giving you flexibility when your invoices are completed.
Billing Method
The billing method within the rate profile can accommodate any billing scenario. You can define the time period an invoice will cover (called a ‘cycle’), and the minimum billing days.
Advance with Credits
Using this method Quantify will generate the first invoice based on the rent start date for the “minimum days rent”; the customer is charged this minimum even if the equipment is returned before the minimum days have passed. Subsequent invoices will be based on the first day of each billing cycle, determined by the “invoice cycle days”. (If “minimum days rent” is set to 0, the first invoice will begin the advance billing cycle and will cover the number of days in the invoice cycle.) Some people call this ‘pre-billing’, as your customer receives an invoice for the equipment at the job site prior to utilizing it for the entire billing period. Credits are issued for items that were billed in a previous invoice but returned before the cycle ends.
Arrears without Cycles
The “arrears without cycles” billing method allows you to generate invoices after the equipment has been shipped to the site, at whatever interval suits your company’s processes. Invoices include all days on rent since the last billing period. This method can be used to generate invoices on any given day of the month, such as the first or last day, and does not bill on a cycle.
First Advance, Then Arrears (and Arrears with Cycles)
Probably the most common billing method for many companies, ”first advance, then arrears” is a combination of both the advance with credits and arrears billing methods. The first invoice generated is in advance for the minimum days rent, starting on the rent start date. After the minimum days rent and the first cycle have passed, Quantify generates invoices in arrears so that future invoices are created at the end of each cycle. Should you wish to bill only in arrears with cycles, simply set the minimum days rent to zero.

The Quantify API (application programming interface) lets you write code to drive all parts of Quantify, allowing
you to create robust applications to integrate Quantify with any application.
All versions of Quantify include an API.
Using VB or C# you can move data between applications, create reservations
(shown above), shipments, estimates, transactions, and invoices, and even
synchronize items with your accounting, ERP, or other software.

There are three common installation scenarios, designed to match your needs, large or

Installing on a single computer is the simplest installation where both SQL Server Express and our software coexist on one computer.
Efficient: Local Network

As your company grows and you add more computers to your network it's a simple task to share
the database on your computer so that other people in your company can be involved in your inventory processes.
Quantify has also been extensively tested on network computers, it's a simple task to move the datbase to a network server.
Shared: Remote Server
For companies with a need to access inventory information from multiple
locations or from outside the office, Quantify uses a unique connection
method that allows you to access your inventory directly through the internet in the
same manner that a web browser communicates with the internet. If you can access
the internet, you can get to your data. No complex, expensive, or confusing VPN
or remote connection software is required.
Remote Server: Avontus Hosted
No expensive hardware or software is required to access your data remotely. All you need is a connection to the internet.
